Heston have developed a system of continuous information flow to achieve a number of key objectives when dealing with client requirements. A procedure for reviewing CV’s for a specific requirement, is only one step in a complex system that ensures that candidates are available to be pre-selected and submitted for client requirements at any given time.

Heston define these steps as:

Recruitment Procedure

The Operational centres will be placed in the middle of the information flow, so that they can receive and send necessary information to both the OLC, and the CAO. The majority of communication will be able to be satisfied via regular reports, standard requirement procedures and daily communication when necessary.

Response Time to Candidates

All CV’s that are submitted via the web-site will be entered and responded to within one workday. Any candidate who submits their CV to Heston by e-mail is asked politely to add their CV via the web-site to ensure they are added to the database within one workday. All CV's that are received by e-mail are tracked, to make sure they have replied.

Increased Candidate Information

To improve the information available to our candidates, and the frequency we receive information from candidates, Heston use a Candidates Area within our Website which is a secure location for each candidate registered with us, to access their own personal information, give them access to additional information on requirements they have applied for, communication tools directly with Heston and candidate services such as CV preparation assistance, and Interview assistance.

Reduced time in dealing with general enquiries

By structuring the type of information available to candidates, Heston is able to provide an automated response to registered candidates via an online forum. The forum provides more accurate information, than using e-mail to request information, and the candidates are able to view information that they are interested in.

Preparation time

Heston ensure that CV’s submitted to client fulfill basic criteria, and are final-checked and authorized for preparation flaws prior to being submitted to the client. Heston also, manage a global CV control of each candidate registered with Heston, which is available through the company intranet, to avoid duplication of work, and to increase response time to clients.

Increased Communication on a daily basis

All requirements from each Heston office are managed through the Company Recruitment database, where communication between offices, candidates and clients are recorded, as they happen. Candidates are sent standard information from the recruitment database, and are required to fill out the necessary procedures on-line, as well as reminders, and SMS prompts.

Improvements on suitability for requirements

Heston understand that it is difficult to assess a candidates CV based on CV alone, and so have developed a format to improve the information available from the candidate in line with specific requirement.

An Executive Brief is available for each candidate to complete along with their application, to define specific experience in line with the clients requirements, as stated in the clients Job Description. Where necessary, Heston include the Executive Brief with the candidate application to the client.

Improved Information on past requirements

Heston use information stored on previous requirements as an essential start to new requirements as well as standard search procedures. By evaluating the success of previous submissions, Heston is able to quickly build a list of technically suitable candidates for client requirements.

Recruitment Procedure

CV Collection

CV’s are received free of charge from speculative candidates, checked and registered into the Heston Recruitment Database, at any time a CV is received by a candidate. Staff and Procedures are in place to continuously collect CV’s and add them into the database.

CV’s are collected from each Heston office and added at source into a Temporary Database, to be screened, and registered by the Central Administrative Office.

CV Screening

CV’s received are stored in a Temporary Database, prior to being registered in the Recruitment Database. A Personnel Coordinator will review each CV to ensure the following:

Test Duplicate – Ensure the candidate is not already registered on the Recruitment Database

Full Details – Ensure the candidate has provided a full CV along with complete personal information.

CV is categorized – Ensure the CV is categorized according to Heston’s CV categorization system.

If any of these steps can not be completed the candidate will be sent a message, and directed to a web form to complete the information required.

When all of the information required has been added, the CV will be processed, a CV Number will be registered and sent to the candidate, and the record is transferred to the recruitment database, to be immediately available for sourcing for active requirements.

Once the CV is registered on the Recruitment Database, the candidate is able to take advantage of the candidate services provided by Heston, as well as appearing on searches where their CV matches the client requirement.

Procedures are in place, to receive client requirements in the following ways:

Official notification – Via E-Mail, Fax or Letter from Client

Verbal requirement – From Client where requirement is imminent pending offical correspondence.

The Requirement is set up on the recruitment database, as per procedure.

The Requirement is received by the Central Administrative Office, checked for anomalies, additional requirement information added, and the requirement is processed into the Recruitment Database.

The Personnel Department, is able to control if the requirement is available on the Internet or not, and whether Agents should be contacted for the position.

The Technical review department will define the search criteria to shortlist candidates matching the clients requirement, which could be a combination of the following search criteria:

Nationality - To be used to identify a specific nationality required (e.g. UK)

OR

Nationality Group - To be used to identify a specific nationality group required (e.g. Asian)

Academic Level - To be used to identify a minimum academic level required (e.g. Degree)

Location - To be used to identify candidates currently residing in a specific location (e.g. Kuwait)

Experience_Year - To be used to identify the minimum years experience required (e.g. 8 years)

Categorisation – Heston use our standard categorisation covering all technical disciplines.

Max. Age - To be used to identify the maximum age required (e.g. 55 years)

Min. Age - To be used to identify the minimum age acceptable for the position (e.g. 25 years)

THE SEARCH STRING

Heston’s database includes the ability to search for specific key words or key phrases to identify preferred candidates from the candidates that meet the pre defined search criteria above.

The Database will generate a list of:

Candidates matching the specified criteria

Candidates submitted for similar requirements

Agents, who can assist with the requirement

 

 

The Technical Reviewer, will review each of the short listed candidates, to review their cv in line with the clients requirement. Suitable candidates will be sent the Job Application information by e-mail, so that they can review the job information and complete the recruitment formalities.

The Candidate will be given access to their individual Job Application Page for the requirements where they will be given the details of the position including salary / contractual information, job description, and client information, so that the candidate can confirm their availability and willingness to be considered for the position officially before any further action is taken.

The Candidate is required to complete two formalities before their application is processed:

DIS - To confirm acceptance to terms of employment

Executive Brief - To confirm suitability for the position

All Candidates must provide a professional referee, and a personal referee before their application can be submitted. These referees are contacted directly, and responses are recorded in the candidates database record.

The Central Administrative Office, control the progress of each requirement, by using a number of on-line status reports, and information indicators, where if necessary decision are made to increase find suitable candidates if they are not available on the database.

Recruitment Agents:

Heston use only approved Recruitment agents and Internal offices to recruit for client requirements, as Heston Agents are required to share their resources with Heston for all requirements. Heston use Agent resources to search all requirements once they have been added to the recruitment database, and because the Recruitment process is channelled through the recruitment system, Heston is able to review and control the quality of CVs being received into the system for client requirements
